What should your business automate first?

A practical way to identify high-value automation opportunities without trying to automate everything at once.

Start with repeated work, not exciting technology

The best first automation is usually not the most sophisticated idea. Look for a process that happens repeatedly, follows reasonably consistent rules and consumes meaningful staff attention. If the process only happens twice a year, the cost of automating it may exceed the benefit.

Look for manual handoffs

A handoff is any point where one person finishes a step and another person needs to know what happened. Email forwarding, chat messages, spreadsheet status updates and verbal reminders are common signs. These handoffs are strong candidates for automation because they create delay and uncertainty.

Prioritize processes with clear inputs and outputs

Automation works best when the process has a recognizable trigger, required information and a clear result. A form submission that creates a record, routes approval and assigns a task is much easier to automate reliably than a process based mostly on informal judgment.

Do not automate a broken process

If nobody agrees on the correct workflow, automation will usually make the disagreement harder to change. Clarify ownership, rules and exceptions first. Then automate the parts that are stable enough to support.

Think in versions

Your first version does not need to automate every exception. A strong approach is to automate the common path, keep rare exceptions visible to a human and expand later once the business has learned from real usage.
